Refund Policy

At Elite Martial Arts, we strive to provide a fair and transparent refund policy for all our members and customers. This policy covers membership cancellations, class packs, private lessons, merchandise, and event registrations. By purchasing any service or product from us, you agree to the terms outlined below.
1. Membership Cancellations and Refunds
- Month‑to‑Month Memberships: All memberships operate on a month‑to‑month basis. You may cancel at any time by providing 30 days' written notice via email to [email protected] or in person at the front desk. No refunds will be issued for the remaining days of the current billing cycle after cancellation.
- Prepaid Memberships: If you have prepaid for multiple months, you may request a refund for the unused full months remaining, minus a $50 administrative fee. The month in which cancellation is requested will not be refunded.
- Freeze Policy: Members may freeze their membership for up to 3 months per year for medical reasons with appropriate documentation. No refunds are provided during freeze periods.
2. Class Packs and Drop‑In Passes
- Class Packs: Unused class packs (5‑class or 10‑class) are non‑refundable but are transferable to another person with written permission. They expire 12 months from the purchase date.
- Drop‑In Passes: Single drop‑in passes are non‑refundable. If you are unable to attend a class you registered for, please notify us at least 2 hours in advance to transfer the pass to another date.
3. Private Lessons
Cancellations for private lessons must be made at least 24 hours in advance. Late cancellations or no‑shows will be charged the full session rate. Unused private lesson packages may be refunded within 30 days of purchase, minus a 10% processing fee.
4. Merchandise and Pro Shop
- Apparel and Gear: Unused and unwashed merchandise with original tags may be returned within 14 days of purchase for a full refund or exchange. After 14 days, returns are at our discretion for store credit only.
- Mouthguards and Hygiene Products: For health and safety reasons, opened mouthguards, protective cups, and similar personal hygiene items cannot be returned or refunded.
5. Events and Seminars
Registration fees for special events, seminars, and tournaments are non‑refundable unless the event is canceled or rescheduled by Elite Martial Arts. If you are unable to attend, you may transfer your registration to another person by notifying us at least 48 hours before the event.
6. How to Request a Refund
All refund requests must be submitted in writing. Please email us at [email protected] with your full name, membership or order details, and the reason for your request. We will acknowledge your request within 2 business days and process any approved refunds within 10 business days to the original payment method.
7. Exceptions
We reserve the right to grant refunds outside of these policies in exceptional circumstances, such as long‑term medical conditions with doctor's documentation, at our sole discretion. Any approved exceptions will be issued less a reasonable administrative fee.
